How to Share a Custom Report

Report owners can share a Custom Report tab with specific users or teams, who get a read-only viewer mode — able to use per-card filters and refresh cards, but not rename, delete, share, or pin to the report.

How to Share a Custom Report

A Custom Report tab normally belongs to whoever built it — they’re the only one who can see it, edit it, or add cards to it. Sharing lets an owner hand that same tab to other people, without handing over control of it. The people it’s shared with get a read-only copy: they can filter and refresh the cards on it, but they can’t rename it, delete it, share it onward, or pin anything new to it.

This is the right tool when a report is useful beyond its builder — a weekly SLA breakdown a whole team should see, or a one-off investigation a manager wants visibility into — but you don’t want a second person able to reshape it.

Sharing a report

Only the owner of a Custom Report tab can share it.

  1. Open the Custom Report tab you want to share.
  2. Open the tab’s menu and choose Share….
  3. Choose the users or teams you want to give view access to.
  4. Confirm. Everyone you added can now see the report as a viewer.

You can come back to the same menu at any time to add or remove people — sharing is managed entirely from the owner’s side. A viewer has no controls to manage who else sees the report, and can’t share it forward to someone else themselves.

What a shared report looks like to a viewer

When someone opens a report that’s been shared with them, the tab carries a “Shared by” badge so it’s clear the report belongs to someone else. From there, a viewer can:

  • Use the per-card filter controls on each widget, the same way the owner would.
  • Refresh cards to pull the current numbers on demand.

A viewer sees the same data the owner sees — refreshing just re-runs the same query, it doesn’t show a different slice of the report. What a viewer can’t do:

  • Rename the report.
  • Delete the report.
  • Share the report with anyone else.
  • Pin a card to the report.

That last point matters if you’re also using AI Insights or the custom-analytics builder while looking at a shared report: any new card you pin from there doesn’t land on the shared report (since you can’t pin to it) — it goes to your General report instead.

If you’re a viewer and need changes made to the report itself — a new card, a renamed tab, access for a colleague — ask the owner. Sharing gives you visibility into their report, not co-ownership of it.
